WHO I AM AND WHAT THIS NOTICE COVERS
I am Penelope Silver, and I am responsible for looking after your personal information when you use this website or book a session with The Reiki One. This notice explains what I collect, why, who sees it, and the choices you have. I have tried to keep it plain and short.
I offer Reiki, EFT, chakra balancing, Hopi Ear Candling and small gatherings such as the Full Moon Circle. I work from One Inner Beauty Studio, 12-14 South Street, Alderley Edge, Cheshire SK9 7ES.

WHAT INFORMATION I COLLECT
I only collect what I need to look after you properly.
Contact details: your name, email address, phone number and any message you send through the website contact form.
Booking and payment details: the session you book, the date and time, and confirmation that payment was made. Card payments are handled by the payment provider, and I never see or store your full card number.
Wellbeing information: anything you choose to tell me before or during a session, such as how you are feeling, health conditions, medication, pregnancy or anything else that affects how I should work with you. This is called special category data, and I treat it with extra care.
Session notes: brief notes I make after a session so I can remember what we did and look after you well next time.
Website information: basic technical data such as your browser, device and the pages you visit, collected through cookies and similar tools (see the last section).
Reviews and messages: anything you post about me publicly, for example a Google review, or send to me by email, WhatsApp or social media.
HOW AND WHY I USE YOUR INFORMATION
Under UK data protection law I need a lawful reason for each use of your information. These are mine.
Taking bookings, and sending confirmations and reminders: to provide the session you asked for (contract).
Replying to your enquiries: to answer what you asked (legitimate interests).
Keeping session notes and asking about your health: to treat you safely and appropriately (your explicit consent).
Taking payments and keeping financial records: to meet tax and accounting rules (legal obligation).
Sharing a quote from a review on my website: to help others find me (your consent).
Sending news of events or offers: only if you have asked to hear from me (your consent).
Where I rely on your consent, you can withdraw it at any time by emailing me. I will never sell your information or use it for anything you would not reasonably expect.
AI TRANSCRIPTION OF CONSULTATIONS
I will only use AI to transcribe a consultation if you have said yes first. It is always your choice, and saying no makes no difference to the care or the session you receive.
Consent first: I will explain this before we begin and ask for your clear agreement, which I will note down. I will not record or transcribe anything without it.
Why I do it: transcription lets me give you my full attention in the session instead of writing notes, and helps me keep accurate notes afterwards.
How it works: your consultation is turned into written text by Wispr Flow, an AI transcription tool. I read the transcript, tidy it into short session notes, and delete anything I do not need.
What happens to the transcript: it is stored securely, kept only for the period set out below, and not used to train AI models. It is only shared with the transcription provider so the service can work.
You stay in control: you can ask me to stop at any point during a session, ask for your transcript and notes to be deleted, or withdraw your consent later by emailing blossom@penelopesilver.co.uk.
A person always decides: AI only turns speech into text. It does not make decisions about you, and I do not use it to assess or diagnose anything.
Because what you tell me can include health information, my lawful basis for this is your explicit consent.
WHO I SHARE IT WITH AND HOW LONG I KEEP IT
I do not sell or give your information to anyone for marketing. I only share it with the services that help me run The Reiki One, and only what they need: my website and booking provider (Wix), my payment provider, my email provider and, where you consent, Wispr Flow, my AI transcription provider, my accountant for financial records, and my insurer or a regulator if I am legally required to, or if a claim is made.
Some of these providers are based outside the UK. Where that happens, I rely on safeguards such as the UK's approved data transfer arrangements.
I keep information only as long as I need it:
Session notes and consent forms: 7 years after your last session.
AI transcripts: deleted once the session notes are written, and within 30 days at the latest.
Enquiries that do not lead to a booking: 12 months.
Payment and accounting records: 6 years, as the law requires.
Marketing sign-ups: until you unsubscribe.
YOUR RIGHTS, COOKIES AND HOW TO CONTACT ME
You have the right to ask what information I hold about you and receive a copy, ask me to correct anything that is wrong, ask me to delete your information unless I have to keep it by law, ask me to limit or stop using your information, withdraw your consent at any time including for AI transcription, and ask for your information in a portable format.
